Fitness Custom Software Development for Multi-Branch Gyms and Franchises

Software built around how your gym group really operates: branches, trainers, packages, franchisees and the accounts that tie it together.

This page covers custom software development for fitness operators beyond a single studio: gym chains, franchise networks, wellness centres with therapy and fitness services, and corporate wellness providers. It suits businesses whose rules do not fit a packaged membership tool.

Generic gym software assumes one price list and one way to count a visit. Real operators sell personal training packs that expire, family plans, corporate tie-ups, transfers between branches and revenue splits with trainers. When the tool cannot model that, the real rules end up in someone's head and a spreadsheet.

What multi-branch fitness operators need from software

01

Complex packages and expiry

A personal training pack has a session count, a validity window and a trainer. Unused sessions, extensions and refunds need rules that front desks can apply the same way each time.

02

Trainer commission and payouts

Trainers are paid per session, per package sold or on a revenue share. The system must compute that from attendance and sales records, and produce a statement trainers can check.

03

Franchise and branch reporting

Owners and franchisees see their own numbers, head office sees all. Royalty or revenue-share calculations need transparent, repeatable logic.

04

Access and hardware

Turnstiles, biometric readers and lockers each have their own software. Integration is possible only where the device offers a usable interface, so feasibility has to be checked early.

What we build for fitness operators

01

Central operations platform

One system for members, packages, branches and staff, with branch-level permissions and a head-office view. Replaces separate tools per location.

02

Payout and commission engine

Configurable rules for trainer pay, with monthly statements, adjustments logged and an export for payroll. Pairs with HR tools such as Staffly where relevant.

03

Franchise and royalty reporting

Sales, collections and royalty by franchisee, with approvals and locked month-end figures.

04

Corporate wellness module

Company accounts, employee eligibility lists, usage reports and invoicing, with employee data kept limited to what the company needs.

When this is the wrong choice. If you run one or two branches with standard memberships, an existing gym management product will cost less than building. Consider custom software when your pricing rules or franchise model genuinely differ. Also, ask whether your accountant needs specific reports, since custom builds must know that early. Likewise, avoid custom work if you plan to change your business model within the year, because rules built today may not fit then.

What it costs

Quoted after a discovery call

Custom software starts at ₹1,50,000 (excl. GST). Number of branches, rule complexity, hardware integration and reporting depth decide the final fixed quote.

Questions we get asked

When does a gym need custom software instead of off-the-shelf?

When your pricing, packages or franchise splits cannot be set up in a packaged tool without workarounds. If staff keep a spreadsheet beside the software to fix its gaps, that is usually the sign it is time.

Can you migrate our existing member data?

Usually, from spreadsheets or exports, after cleaning duplicates and fixing phone numbers and dates. We run a trial import first and ask you to check samples. Some old systems export poorly, which we confirm during discovery.

How would trainer commission be calculated?

From the rules you define, applied to recorded sessions and sales, with every adjustment logged. Trainers see a statement they can query. We build the calculation, but you confirm tax and labour treatment with your accountant.

Can software connect to our turnstiles and biometric devices?

Possibly, if the device maker provides an interface. We check your models early and tell you plainly if integration is impractical. QR or staff-assisted check-in is a workable alternative when hardware cannot be connected. Both options are weighed openly.
