Healthcare AI Solutions: WhatsApp Chatbot and Admin Automation

Chatbots and automation that handle appointment queries, reminders and paperwork for clinics and hospitals, so front-desk staff can focus on patients in the room.

This page covers AI solutions for healthcare providers: a WhatsApp or website assistant for non-clinical questions, and automations for reminders, intake forms and internal admin. We do not build tools that diagnose, recommend treatment or interpret test results, and we would advise against any bot that tries.

Front desks at clinics spend much of the day answering the same questions: timings, fees, doctor availability, preparation for a test, report status. A bot can handle those, reliably and in the patient's language, and pass anything clinical or urgent straight to a person.

What healthcare providers need from AI and automation

01

Hard limits on what the bot says

It should answer only administrative questions from approved text. For symptoms, medicines or anything urgent, it must say it cannot advise and give the clinic number or emergency guidance you approve.

02

Fewer missed appointments

Reminders a day and a few hours ahead, with a simple reply to confirm, reschedule or cancel, free up slots. This is usually the most measurable gain for a clinic.

03

Care with personal data

Chats contain names, phone numbers and sometimes health details. Data should be stored securely, retained only as long as needed, and consent for messaging collected clearly, as your adviser directs.

04

Support in the patient's language

Patients write in Hindi, Marathi or mixed English. The assistant should understand them and reply in the same language, with a human fallback when it is unsure.

What we build for healthcare AI

01

Front-desk WhatsApp assistant

Answers timings, location, doctor schedules, fee ranges and test preparation from your approved content. It books or reschedules through your appointment system and hands difficult chats to reception with the history.

02

Reminder and follow-up automation

Appointment reminders, post-visit thank-you messages and prompts for scheduled follow-ups, sent at times you set. Messages avoid naming conditions so a glance at a phone reveals nothing private.

03

Digital intake forms

Patients fill history and consent forms on their phone before arrival. Answers are placed into the record for the doctor, which shortens the time spent at the desk.

04

Admin summarisation for staff

Internal tools that summarise call notes or long message threads for reception and billing teams. They are for staff convenience, and a person checks anything that affects care.

When this is the wrong choice. Do not use AI for clinical decisions, triage or interpreting results. If your reception is already overloaded because of poor scheduling, fix the schedule first, since a bot will only move the queue to WhatsApp.

What it costs

Starts at ₹1,00,000 (excl. GST) for an AI chatbot and automation setup

WhatsApp Business API fees and AI model usage are paid to the providers and vary with volume. We estimate these running costs during discovery.

Questions we get asked

Can the chatbot answer patients' medical questions?

No, and we recommend against it. The bot should handle administrative questions only and clearly tell patients it cannot give medical advice. For symptoms or emergencies it directs them to a doctor or your approved emergency number.

Is it safe to share patient details over WhatsApp?

Keep messages minimal. Use names and appointment times, not diagnoses. WhatsApp is encrypted in transit, but data also sits with the provider and your systems. Confirm consent wording and retention rules with your legal adviser.

Which parts of the clinic does it connect to?

Usually your appointment calendar and patient contact list. If you use clinic management software with an API, we connect to it. If not, we can build a light calendar for the bot, or share a spreadsheet as a starting point.

How do we know the bot is not giving wrong answers?

We restrict it to approved content, test it with your staff on real questions before launch, and log every conversation for review. A weekly check in the first month catches gaps, which we then fix in the approved text.
