Pharma and Medical Supply Custom Software Development

Custom software for distributors, stockists and small manufacturers whose batch, expiry and licence rules do not fit a standard ERP.

This page covers pharma and medical supply custom software development: warehouse, dispatch, returns and records systems around your existing billing software. We build tools your team uses daily. We do not replace validated manufacturing systems, and we do not certify compliance.

Most distributors already run billing software such as Marg or Tally. The gaps sit around it: goods-in checks, near-expiry handling, return authorisations, cold-chain logs and reports your billing tool will not produce. Custom software fills those gaps without throwing away a system your accountant relies on.

What pharma firms need from custom software

01

Batch-wise traceability

When a batch is recalled you need to know which customers received it. Records must link each dispatch to batch, invoice and buyer without hunting through files.

02

Expiry and return handling

Near-expiry lots, returns from chemists and credit notes follow a set path. The system should track each return from request to approval to stock status.

03

Records an inspector can follow

Storage and dispatch logs, temperature entries and licence documents should be organised and retrievable. Confirm your record-keeping duties with your regulatory adviser.

04

Accounts that match the warehouse

Dispatch, invoice and receipt records should reconcile without a monthly clean-up. Mismatches should show in a list, not stay hidden in Excel.

What we build for pharma operations

01

Warehouse and dispatch tracking

Goods-in with batch and expiry capture, pick lists by route and dispatch confirmation. Barcodes on packs speed up scanning where available.

02

Returns and expiry workflow

Chemists request returns, staff approve and the system updates stock status and credit note drafts. Near-expiry alerts go to the sales team to push stock early.

03

Cold-chain and storage logs

Digital logs for temperature readings, pack-out times and cold room checks entered by staff or imported from loggers where the data is available.

04

Reports and billing hand-off

Scheduled reports on batch movement, near-expiry value and slow lines. Data flows to and from your billing software by file or API as it allows.

When this is the wrong choice. If a standard distributor ERP covers your needs, buy it. Custom work is justified when your processes are unusual and the daily manual work is costly. Ask us during discovery and we will say plainly if a cheaper route fits your size and budget better, even if it means a smaller project for us.

Questions we get asked

Can custom software replace our billing software?

We advise against it unless you have a strong reason. GST, e-invoicing and statutory reports change often and mature billing tools handle them. We usually build around your billing software, passing data in and out, so accounting stays stable.

Does the software make us compliant with drug regulations?

No software does that alone. We build records and workflows to match the procedures you define with your regulatory adviser. The responsibility for compliance remains with your licence holder, and we do not certify or guarantee any regulatory outcome.

Can we trace a recalled batch to customers?

Yes, if batch numbers are captured at goods-in and at dispatch. The system links each dispatch to batch and buyer so you can list affected customers quickly. Old stock without batch capture needs a cut-over date and a clear rule.

How is data migrated from old software?

We export from your existing tools, clean it, map fields and run both systems in parallel for a short period. Batch and expiry data is often the messiest, so we ask for a sample early and report exceptions for your team to resolve.
