Pharma distributor and medical supply software and website development
Order portals, batch and expiry tracking and company websites for stockists, wholesalers and surgical suppliers. Built for repeat retail orders, not for consumer shopping.
A pharma wholesaler's day is a stream of repeat orders. Chemists phone or message in the evening, a salesman keeps a notebook, and the godown works from a printed list the next morning. Pharma distributor software and website development should shorten that chain without changing the rule that every strip is traceable to a batch.
NioDelta, a studio working from Pune, Nashik and Mumbai, builds ordering portals, stock tools and websites for distributors and medical suppliers across India. We do not decide what you may sell or stock. Drug licence rules and pharmacy regulations must be confirmed with a qualified compliance adviser before launch, since we cannot advise on that.
Where distributors lose time and stock
Orders by phone and WhatsApp
Retail chemists send orders as voice notes, photos of handwritten slips or loose text. Someone retypes each one into the billing software. Errors in quantity or product name show up only at delivery.
Expiry surprises
Stock close to expiry is found during an audit, not during sale. Without batch-wise visibility, short-dated lots stay at the back of the godown and become returns or write-offs.
Outstanding payments
Credit is normal in this trade, and ledgers live in the billing system that only the accounts team opens. Salesmen cannot see a chemist's overdue amount before they take a fresh order.
Cold chain and handling gaps
Vaccines, insulin and some injectables need temperature control. A paper register of fridge readings is easy to skip and hard to produce when a buyer asks for proof.
What we build for pharma and medical supply businesses
Chemist ordering portal
Retailers log in on a phone, search your catalogue, reorder from their last invoice and see their own outstanding balance. Orders land in your billing or dispatch queue as clean lines, not chat messages.
Salesman order app
Field staff take orders on a mobile app that works with weak signal and syncs later. They see stock, scheme details you publish and the party's credit position before confirming.
Batch and expiry tracking
Record batch number, manufacturing and expiry dates at inward entry and pick batch-wise at dispatch, nearest expiry first. Dashboards list lots expiring in sixty or ninety days so you can push them in time.
Licence and document display
Your website shows licence numbers, validity and principal company authorisations that you supply, with a reminder before each one lapses. A document vault holds renewals and inspection papers for the team.
Temperature log and alerts
Staff record fridge readings in the app, or a connected sensor posts them, and the system flags readings outside the range you define. This builds a record you can export when a customer asks.
Company website and catalogue
A fast site for your firm, with product ranges, principal brands, coverage areas and a retailer registration form. For surgical and equipment suppliers, a quote request catalogue with specifications and brochures.
How a distributor build runs
Discover
We follow one order from phone call to invoice to delivery, and sit with the godown and accounts teams. We note which billing software you run, since the portal must work around it.
Define
We fix the catalogue structure, batch rules, price lists, credit limits and who can see what. You get a written scope and a fixed quote, and your compliance adviser can review anything that touches licences.
Design
Screens are designed for chemists who are busy at the counter and for salesmen on low-end Android phones. Search tolerates brand names, salt names and spelling mistakes.
Build
We build the portal, the admin side and the sync with your billing system in stages. A few friendly chemists use it with real orders before the full rollout.
Ship & extend
We launch with training notes for staff and support you for one month. Later additions can include new territories, a delivery app or analytics by product.
What it costs
A distributor website starts at ₹45,000. An ordering portal with batch tracking is custom software that starts at ₹1,50,000, and a field order app adds to that. Final cost is quoted after a discovery call.
- Size of the product catalogue
- Sync with your billing or ERP software
- Batch, expiry and scheme rules
- Salesman mobile app
- Temperature sensors or manual logs
All prices exclude 18% GST. See also website costs and app costs.
Questions we get asked
Can the system replace our billing software?
Usually not, and we advise against it. Your billing software already holds GST, ledgers and returns. We build the portal and tracking around it and sync orders and stock through its export or API, if it offers one.
Will it handle batch-wise stock and short expiry?
Yes. Each inward entry stores batch and expiry, and dispatch picks from the nearest expiry by default. A report lists lots nearing expiry. Accuracy still depends on staff entering batch details correctly at the godown.
Can we show our drug licence on the website?
Yes, as fields you fill in, with validity dates and reminders. What must be displayed, and in what form, is a compliance question. Please confirm with a qualified adviser before publishing, because we cannot give legal advice.
Do you support prescription-only medicines in the portal?
We build ordering for licensed retailers and hospitals, who hold the buying rights. Rules for scheduled drugs vary, so your compliance adviser must define who can order what. We then enforce those rules through roles and approvals.
Can retailers pay online?
Yes. We can add UPI and card payments through a payment gateway, and show outstanding invoices with a pay-now option. Many distributors keep credit terms, so the portal can also record cheque or bank transfer receipts.
How long does it take?
A company website takes six to ten weeks. A portal with batch tracking and billing sync is scoped after discovery, and the first working version often lands in about ten to twelve weeks, depending on integrations.
