Taxi Custom Software Development for Fleet Businesses

Software for the money and maintenance side of a fleet: driver payouts, corporate contracts, vehicle costs and trip-wise profit.

This page covers taxi custom software development for fleet owners and travel companies whose problems sit behind the booking screen. Who owes what to which driver, which corporate contract is losing money, which vehicle is due for service and what a trip actually earned after fuel and tolls. Our work usually begins with one painful report.

Booking tools show trips. They rarely show profit. A custom system ties trips to driver pay, vehicle costs and client contracts, so the owner can see which routes, vehicles and customers make money. That is useful for fleets that have outgrown spreadsheets but do not fit a standard product. You own the code and data, and can add modules later.

What fleet businesses need from custom software

01

Driver payouts and settlements

Drivers may be paid by salary, per trip, commission or a fixed daily rate. Advances, fuel, challans and cash collected all have to be settled correctly at each cycle.

02

Corporate contract rules

A company may pay a fixed monthly package with extra km and hour rates, while another pays per trip. Billing rules differ by contract and need to be applied without manual maths.

03

Vehicle cost and maintenance

Fuel, service, tyres, insurance and repairs add up per vehicle. Without tracking, owners cannot tell which cars earn their keep and which should be sold.

04

Trip-wise profit visibility

Revenue per trip means little without driver cost, fuel, toll and overhead. Owners want a view by route, client and vehicle that they can trust.

What we build for taxi fleets

01

Driver settlement module

Handles pay models, advances, deductions and cash handed in, producing a statement per driver per cycle. Disputes are easier to settle because each entry is logged.

02

Contract billing engine

Encodes each client's package, slabs and extras, then generates invoices from closed trips. Supports GST invoices, credit notes and ageing for dues.

03

Vehicle ledger and service planner

Per-vehicle fuel, repairs and documents with service reminders by date or odometer. Reports show cost per km and idle days by vehicle.

04

Owner dashboard and integrations

Profit by route, client and vehicle, with exports for your accountant. We connect to your booking tool, GPS tracker or accounts software where they offer an export or API.

When this is the wrong choice. If you run fewer than ten vehicles, or your bookings are simple, a spreadsheet or an ordinary fleet product may be enough. Custom builds pay off when contract rules are complex.

What it costs

Custom software starts at ₹1,50,000 (excl. GST)

Scope depends on the number of modules, contract rule complexity, integrations and migration of old data. We scope in writing after a free discovery call and can phase the build.

Questions we get asked

Can the software connect to our GPS trackers?

Often yes, if the tracker vendor provides an API or data export. We check this early, as some vendors charge for access. Where no integration exists, odometer readings entered at trip close can still support cost per km.

Can it handle drivers who are paid in different ways?

Yes. Salary, daily rate, per-trip and commission models can run together, with rules set per driver. Advances, fuel deductions and cash handed in are settled in one statement per cycle, which cuts the arguments that usually follow month end.

How do we import our old trip data?

If your past trips are in Excel or another system with an export, we can map and import them, and you can check a sample first. Messy paper records need cleaning, which adds time and is quoted separately.

Is it better to buy ready fleet software?

Ready products are cheaper when your process is standard. Custom makes sense when your contract rules, payout methods or reports differ from what those products offer. We say plainly in discovery if an existing tool would serve you better.
