Hotel Custom Software Development for Multi-Property Operations
Software around your own property workflows, such as group billing, inventory and reporting, for hotels whose process a standard package does not fit.
This page covers custom software for hotels and resorts: back-office tools for a single property or a small group. Typical cases are group billing, banquet quotation, store and kitchen inventory, staff rostering and consolidated reports across properties. Each module is scoped against a real pain, such as a quote that took two days.
Most hotels should start with a good ready-made property management system. Custom software is for gaps that remain after that. We build around your PMS rather than asking you to throw it away, and we say so when the gap is too small to justify a build. The first question we ask is what the gap costs you now.
Where hotels outgrow standard packages
Banquet and event quotations
Hall rent, menus, decor, taxes and advances differ per event. Staff end up building quotes in spreadsheets that differ from person to person.
Consolidated group reporting
Owners of two or three properties want occupancy, revenue and cost in one view. Collecting numbers from separate systems by hand takes days each month.
Store and kitchen inventory
Purchases, wastage and stock transfer between kitchen and bar need tracking. Losses hide in unrecorded movement.
Staff rosters and attendance
Shift patterns, weekly offs and festival peaks are hard to manage on paper. Payroll inputs should come from the same record, not from memory.
What we build for hotel operators
Banquet quote builder
Hall, menu and add-on selection with taxes calculated and a standard quote document. Version history shows what changed between quotes.
Group reporting dashboard
Daily occupancy, revenue and expense numbers pulled from your systems or entered once, shown per property. Access is limited by role.
Inventory and purchase module
Stock in, stock out, recipes or issue notes and low-stock alerts. Purchase orders go to vendors from the same screen.
Roster and attendance tool
Shift planning, leave and attendance with a payroll export. Our Staffly project covers similar HR ground and can inform the design.
What it costs
Modules, number of properties, user roles and integrations drive the quote. A fixed price follows a discovery call and a short review of your current process. Part of the quote goes to understanding your PMS export options.
Questions we get asked
Will custom software replace our PMS?
Usually not. A PMS holds reservations, folios and night audit, and replacing it is a heavy project. We build the modules around it and connect where an API or export is available. We confirm integration options in discovery.
Can we start with banquets only?
Yes. Many hotels start with one painful area, such as banquet quotes. Once it works, we add inventory or reporting. We plan the data model in discovery so later modules fit together. Each module goes live on its own.
How do you handle our sensitive guest data?
Access is role-based, data is stored on infrastructure you own or approve, and guest identity fields are kept minimal. Data protection duties are yours to confirm with your adviser. We build to those instructions. Backups and access logs are part of the build.
Do we own the software?
Yes, you own the code and data after the project is paid for. There is a month of post-launch support included, and a care plan from ₹3,750 a month if you want maintenance afterwards. Source code is handed over in full.
