Attendance sounds simple until you run it for real. Some staff sit at a desk, some visit client sites, some work night shifts, and some forget to punch out. Payroll then depends on a register that someone fixes by hand on the 28th of every month. Rules for shifts, grace time and leave differ by team, and that is where most tools fall short.

Buddy punching and fake locations
A colleague marks attendance for someone else, or a field worker punches from home. Selfie capture and location checks reduce this, but only if they are designed so honest staff are not blocked.
Complex shifts and overtime
Rotating shifts, night shifts crossing midnight, grace periods and half-day rules differ by team. Generic tools apply one rule to everyone, so payroll gets corrected afterwards.
Devices that do not talk to software
Many sites already own biometric machines from different vendors. Their data is stuck on the device or in a vendor tool and never reaches payroll.

Fixed, rotating and flexible shifts, with grace time, late marks, half days and overtime rules per team. Managers can swap shifts and see coverage in a calendar.
Leave and regularisation
Leave types, balances, holidays by state, and a request flow where a missed punch is corrected with a reason and manager approval. Every change is logged.
Reports and payroll export
Daily, monthly and late-coming reports, plus a payroll-ready export of paid days, overtime and loss of pay. It can feed your payroll tool or our own payroll module.
Manager and admin dashboards
Who is in, who is late, who is on leave and who is on site today. Alerts go to managers on WhatsApp or push so problems are seen the same day.

Questions we get asked
Can staff mark attendance without a smartphone?
Yes. Options include a shared tablet kiosk at the entrance, a biometric or RFID device, or a web punch from a desk computer. You can mix methods across teams, with all punches going to one register.
Is selfie attendance legal and private?
Collecting photos is personal data, so staff should be told what is stored and why, and access should be limited. We build retention settings and role limits, but your HR and legal advisers should approve the policy.
How do you handle night shifts that cross midnight?
Each punch is attached to a shift instance rather than a calendar date, so a shift starting at 10 pm and ending at 6 am counts as one working day. Overtime and late rules follow the shift start.
Which biometric machines can you connect?
It depends on the vendor. Many support a push server, SDK or file export that we can read. Send us the model names and we check what each supports before giving a final quote. Older machines without network features may need a small bridge device or a different model.
Can it work offline?
The mobile app can store a punch locally with time and last known location, then sync once the network returns. Managers see such punches marked as synced late, so they can verify them if needed.
Will it connect to our existing payroll?
Yes, through an export file or API, depending on the payroll tool. If you have no payroll tool, we can build payroll rules into the same system as a later phase. Pay-day cut-offs and lock dates can be set so approved attendance cannot change afterwards.
